Project Accountant

Job Summary
The Project Accountant will serve as a bridge between the financial aspects of projects and overall management, ensure that projects are financially viable, well-monitored, and compliant while also facilitating communication and collaboration among project stakeholders. This role requires strong financial acumen, communication skills, attention to detail, and the ability to manage multiple tasks simultaneously.
KEY RESPONSIBILITIES:
Project Onboarding
- Assist the project manager with scope identification, budgeting and resource planning, project schedules, and cashflow schedules.
- Work with the sales and estimating department on finalizing the development of:
- revenue and cost budgets
- cash flow schedules
- Assist project managers with project resource scheduling and needs projections.
- Review proposed budgets and cashflow schedules with project managers, upper management, and finance. Highlight any discrepancies and adjust as needed.
- Project buildout and setup in ERP system, Acumatica. This includes project tasks, phase and cost codes, cost estimates, billing templates, contract specifics,
- Assist project managers and superintendent with other financial matters, such as setting-up accounts with suppliers, etc.
Budget and Resource Management
- Monitor project financials (budgets, resources utilization, etc.) and generate monthly summary reports for review by the finance team, team leaders, and management team.
- Lead monthly project accounting meetings to review.
- Together with the project manager, update the project budget and resource scheduling as needed.
- Assist the finance team with any additional project related reporting needs.
Project execution
- Analyze detail of job cost transaction reports.
- Review supplier and subcontractor invoices related to T&M and cost plus project billing process.
- Create change orders based on information given by the project manager.
- Monthly closing processes and reporting.
- Contract brief review with Accounting Manager.
Change Order Tracking:
- Identify out-of-scope activities and draft additional statements of work as needed.
- Provide base rate sheet and estimate time and material costing for approvals prior to commencing work.
- Set-up revenue budget changes in accounting system, maintain the change orders, and invoice as needed.
Accounts Payable Liaison
- Match invoices with backup (field POs, shipping receivers, etc.)
- Request invoices from subs and vendors as necessary.
- Assist vendors and subcontractors when inquiring on invoice/payment status.
- Address coding queries from accounting department.
Accounts Receivable Liaison
- Prepare and import project revenue budget buildouts.
- Review contracts for required payment terms, invoicing schedules, lien waiver, and other accounting related responsibilities.
- Maintain milestone payment invoicing schedules.
- Gather and compile any necessary customer invoicing backup (such as lien waivers, accompanying schedules, copies of invoices, etc.)
- Instruct AR department on when to invoice, review invoices before issuing.
Other Responsibilities
- Identify areas of process improvement and apply learnings to future projects.
- Regularly meet with technical project leads and functional team leaders to discuss projects in the pipeline.
- Any other projects or related duties that arise over the normal course of business.
- Assist in job audits.
- Assist Project Managers with other job cost related tasks and reporting.
- Work with Project Managers to prepare customer billing rates.
- Provide project financial support and analysis for projects.
- Lead job audits.
- Review subcontractor invoices and required supporting documentation, recommend for approval or rejection to Project Manager.
- Perform additional duties as directed by Controller and CFO.
- Attend Project Meetings virtually and field owner accounting and requisition questions.
- Management of network files used for storing both project and business data.
- Preparation of various project-related spreadsheets upon request.
Qualifications and Skills
- Bi-Lingual (Spanish & English) a plus.
- Problem solving and critical thinking abilities.
- Ability to work under pressure while meeting deadlines.
- Excellent leadership, communication, problem-solving, delegation and decision-making skills.
- Proficient in MicroSoft Word, Excel and Project.
- Familiar with construction processes, practices, and procedures.
- Strong attention to detail, problem solver, able to create solutions to challenges.
Education and Experience
- Associate's degree in Accounting, Construction, Business, or Finance, with a commitment to pursue a Bachelor's degree in one of these fields.
- 2 to 3 years accounting experience, construction industry a plus.
- Acumatica or other ERP experience a plus.
- Construction accounting or engineering field a plus.
- Basic understanding of contract, construction and accounting terminology.
